Guinness World Records partners with Octopus HR

Signing a three year contract, Guinness World Records – the worldwide authority on record-breaking achievement – has selected Octopus HR software to manage its global staff records. The online self-service software will simplify and speed up HR administration of the 150 employees spread across London, New York, Beijing, Tokyo and Dubai, while providing the tools needed to drive HR strategy.

With implementation of core HR underway and a test team identified, Guinness World Records expects to go live imminently. After Octopus HR has been rolled out across the organisation the company will also consider extending the contract to include additional modules such as Recruitment, Performance Management and Training.

The new technology will change the way the HR and payroll department runs, empowering employees to manage much of their own data and providing managers with access to workforce information anytime, anywhere. By integrating payroll with HR, it will remove a great deal of repetitive data entry and enable the HR department to focus on more strategic issues.

Commenting on the HR system requirements, Jane Atkins, Head of HR at Guinness World Records, explains: “In terms of project drivers, we wanted a more encompassing solution to track all aspects of our employees’ working lives while ensuring that data is kept within Data Protection principles. With the previous system having only covered absence, the remaining data was collated manually which made reporting very time consuming. Furthermore, line managers in other locations wanted and needed employee information quickly and will no longer have to wait for the UK office to open to get it.

“We partnered with Octopus HR because its SaaS HR system provided the flexibility we required to meet our multi-territory needs and stringent security requirements. The entire team has been supportive and friendly which has helped enormously as we learn the system before a company-wide roll out.”
